Staff Konnect (“we”, “our”, or “us”) is committed to protecting the privacy of employees who use our mobile application (“App”). This Privacy Policy explains how we collect, use, store, and safeguard personal information. By using Staff Konnect, you consent to the practices described in this policy.

a. Personal Information Provided by your Employer

Our App uses personal information supplied by your employer’s organization and stored securely on their payroll system. This information is used solely to give you self-service access to your own employment records within the App. The data provided includes, but is not limited to:

• Basic Details: Name, Date of Birth, Gender, Mobile Number, Employee Code
• Contact Information: Address, Email
• Payroll Records: Salary history and payslips
• Attendance Records: Daily/monthly attendance data

Please note that the App does not actively collect this information directly from you; it is supplied by your employer. By using the App, you acknowledge and consent to the use of this information in accordance with this Privacy Policy.

b. Automatically Collected Information

In addition to the above, we may automatically collect:

Device Information: Details about your device, including operating system version and app version, used for security and performance purposes.

We use your information for the following purposes:

• Authentication and Security: Verifying your identity via your Employee Code, Date of Joining, and Organization Code, and protecting your session.
• Self-Service Access: Displaying your Profile, Payment/Payslip history, and Attendance records within the App.
• Compliance: Ensuring our practices comply with applicable legal obligations and protecting our rights.

• Data Storage: Your session token and selected organization are stored locally on your device using secure local storage. Your employment records themselves remain on your employer’s own backend system, not on your device, and are fetched on demand.
• Data Transmission: All data is transmitted between the App and your employer’s system over encrypted channels (HTTPS).
• Access Controls: Only your employer’s authorised personnel and systems have access to your personal information, for legitimate payroll and administrative purposes.
• Data Retention: Your data is retained by your employer for as long as they maintain your employment record, or as required by applicable law. Signing out of the App removes your locally stored session token from your device immediately.

We do not sell, rent, or share your personal data with any third parties. Your data may only be accessed in the following limited circumstances:

• Legal Requirements: When required by law or to comply with legal processes (e.g., subpoenas, court orders).
• Your Employer: The organization that provided the data retains access to it for legitimate administrative and payroll purposes.

You have the following rights regarding your personal data:

• Right to Access: Request a copy of the personal data we hold about you.
• Right to Correction: Request correction of inaccurate or incomplete data. Note that most data corrections (e.g. name, designation, pay scale) should be directed to your employer’s HR/payroll team, as they are the primary data source.
• Right to Deletion: Request removal of your locally stored session data by signing out of the App, or contact us at the address below regarding your account.
• Right to Withdraw Consent: You may withdraw consent to data processing at any time, though this may affect your ability to use the App.
• Inquiries: Reach out to us with any questions, clarifications, or requests regarding your personal information.

We may update this Privacy Policy periodically. If we make significant changes, we will notify you through the App and/or update the effective date at the beginning of this policy. We encourage you to review this policy periodically to stay informed about how we are protecting your information.
